Creating classes, the Students page, importing a roster, access codes, and archiving.

Creating a class

On the Classes page use + New class (you can also choose + New class at the bottom of the class filter on the Students page). Give it a name (for example BSIT 3-A: Capstone). Each class holds a roster and any number of evaluations.

The class page

Click a class card to open its page. It is the hub for that class.

  • The header shows the class name and “N students, N groups, N evaluations”, with Print access codes and + New evaluation.
  • Evaluations lists each one with its status. An open evaluation shows how many students have submitted, for example “21 of 32 submitted”. Compare evaluations puts several side by side.
  • The Students panel tells you how many students have not submitted the open evaluation yet, with their names and progress (“not started”, “1 of 3”). See all expands the list, and Print their access codes prints codes for just those students. It also shows your groups, Print all access codes, Import or add students, and Manage students, which opens the Students page filtered to this class.
  • The … menu at the top right has Rename class, Archive class and Delete permanently.

Building the roster

Open Students in the top bar. It is the one page for every student across all of your classes. Use + Add student to add one at a time, or Import roster CSV to bring in a whole list.

  • The CSV import is additive: it enrolls new students and leaves existing ones alone. It never removes anyone.
  • Download the template from the import screen so the columns match. Student ID Number, Last Name and Class are required. First Name, Sex and Group/Team are optional. A student with no first name is listed by last name only. A class name that does not exist yet is created for you.
  • The importer validates the file first and shows what it will do before you commit, including every row it will skip and why.
  • A Student ID that already exists is never duplicated: adding or importing it again enrolls the existing student into the class.

Finding and managing students

The Students page lists each student with their classes, their latest result and how many evaluations they gave, so you can see at a glance who is behind.

  • Search by name or Student ID, or narrow the list to one class with the class filter. A class page’s Manage students link opens this page already filtered to that class.
  • Open a student to see their results by evaluation, the evaluations they gave and every comment they received. Use the pencil on a row to edit their name, Student ID, sex and classes, or to delete them.
  • Select one or more students (the checkbox column, or Select on a phone) to Move to class, Reset access codes, or Delete. Moving withdraws a student from their other classes unless you tick Keep them in their current classes too; their history is kept either way. Delete asks you to type DELETE and is refused for any student who has taken part in an evaluation, since that would erase other students’ ratings. Remove those from the class instead.
  • Export gives you the student list as a CSV, a printable class list, and a Group by sex toggle for the list order. Export and print act on the students you selected, or on everyone the current search and class filter show.

Access codes

Every student has a personal access code. This is how they log in; there is no student signup. The Students page shows each code masked.

  • Reveal a single code, copy it, or Reset code from the student’s edit dialog (the pencil on their row). A reset issues a new code and invalidates the old one in every class the student is in.
  • Access codes in the toolbar has Print access codes (a handout of names and codes to cut up) and Export access codes CSV. Pick a class in the filter, or select some students first, to print or export just those.
  • On a class page, Print access codes prints the whole class and Print their access codes prints only the students who have not submitted the open evaluation yet.
  • Reset access codes in the selection bar resets several at once. Slips you already handed out stop working.

Codes are per student, not per evaluation. The same code works for every evaluation in that class.

Editing the roster later

You can keep editing the class roster (add or remove students, fix names) until an evaluation is activated. Activation snapshots the roster into that evaluation. After that, the evaluation’s own roster is frozen. See Evaluations for why, and what to do if you need a correction.

Archiving and deleting

  • Rename class, Archive class and Delete permanently are in the … menu on the class page.
  • Archive a class you are done with. It drops off the Classes page and moves to Archived classes, where you can unarchive it.
  • Archived classes that stay inactive for a long time become eligible for automatic cleanup. You will be warned before anything is deleted, and you can set keep indefinitely on a class to opt it out.
  • Delete permanently is on the class page’s … menu (and on the Archived classes page). It asks you to type DELETE to confirm. This removes the class, its evaluations, and all evaluation data for good.
